Run Rules on Office 365

Select Email to open the Options panel on the left. Under Email > Automatic processing, select Inbox and deletion rules. A rule that contains a contact group may behave differently than other rules, depending on how the rule is created. Inbox rules are applied to incoming messages based on the order in which they are in the Inbox Rules list. You can specify the order in which the rules you create are applied to messages that arrive in your Inbox. Rules let you automatically move, specify, and reply to e-mail messages. You can also use rules to play sounds, move messages to folders, or view alerts about new items. Use Inbox rules to automatically perform specific actions on emails that arrive in your inbox. For example, you can create rules that change the importance level of incoming messages, automatically move them to other folders, or delete them based on specific criteria. Meeting requests, task requests, and documents are considered messages. When you create a rule that moves an item to a specific folder based on certain conditions (criteria) that are met (matching), all meeting and task requests that match those conditions are also moved. However, be aware of the following limitations when you create rules that affect these types of items: If you do not want to run any more rules afterwards, select the Stop processing additional rules check box. While Microsoft could simply implement the “Run rules against inbox” feature that other online email clients have, this procedure is still much better than moving them individually or 8 at a time using the “Select All (top)” button. To quickly create a rule that moves all messages from a specific sender or group of senders to a folder, right-click a message in the message list for which you want to create a rule and select Create Rule. Select the folder to which you want to move all messages from this sender or group of senders, and then choose OK. Select OK. The rule is applied to all incoming messages. If you want to run the rule immediately in your Inbox, select the Run this rule in your Inbox now. Note: Currently, you can only run rules that move a message from a sender to a folder. You cannot run other rules, such as those that use a message title or mark a message as unread. If you want to do more than just move the message from a specific sender or group of senders to a folder, select More options. The rule settings menu opens. Every rule needs at least three things: a name, a condition, and an action.

Rules can also contain exceptions to conditions. You can add multiple conditions, actions, and exceptions to each step by selecting Add condition, Add action, and Add exception. If you do not want more rules to run later, select the Stop processing additional rules check box. For more information, see Stop processing other rules in Outlook on the web. Click Save to create the rule, or click Discard to cancel the rule creation. Back to top of the Edit Inbox Rule page At the top of the Settings page, select > View all Outlook settings. Select Email > Rules. In the rule you want to edit, select the option.

Click Save to save the modified rule. Note: Some rules created in other versions of Outlook cannot be processed by Outlook on the web. You cannot run or modify the rule in Outlook on the web. Back to top of the Delete Inbox Rule page At the top of the Settings page, select > Show all Outlook settings. Select Email > Rules. In the rule you want to delete, select the option. Tip: If you just want to disable the rule for a while, select the switch next to the rule. At the top of the Settings page, select > Show all Outlook settings. Select Email > Rules. Select a rule, and then use the up or down arrow to change the order in which the rule is applied to incoming messages. Run a rule on existing messages: At the top of the Settings page, select > Show all Outlook settings. Select Email > Rules. Next to the rule you want to run, select. Note: Currently, you can only run rules that move a message from a sender to a folder. You cannot run other rules, such as those that use a message title or mark a message as unread. Back to top For example: – If you create rules to receive a notification banner in your system when you receive a message from a specific email address, this action or condition should only be performed in the Outlook application, making it a customer-only rule.

Go to outlook.office.com/mail/options/mail/rules Server-based rules should apply to messages when they are first delivered to your Inbox, and rules should be able to run until they are complete on the server. For example, a rule that specifies that a message will be printed cannot be executed until it is completed on the server. If a rule cannot be applied on the server, it is applied when Outlook starts, and then becomes a client-only rule.
